Research Administration Coordinator

Job Summary:

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.

Reporting to the Department Head or designate, the Research Administrative Coordinator, BC Cancer Research Centre is responsible for providing support in areas of human resources, payroll, grant and research administration. This role, on behalf of Principal Investigators (PI’s) and leaders, monitors payroll and financial cost centres through to resolution of payroll issues. The Research Administrative Coordinator also provides administrative support including managing the grant application process and providing work direction to junior administrative staff in the team.

Duties/Accountablilties:

  • In collaboration with the Principal Investigator(s) (PIs) coordinates the preparation and submission of grant proposals by identifying submission guidelines, collating information required and ensuring submission deadlines are met. Follows up with the granting agency on the submission of proposals, monitors post award financial accounts to ensure accuracy. Provides progress reports, highlights discrepancies and provides recommendations to resolve discrepancies and budget concerns to the PI(s) as appropriate.
  • Interacts with a variety of individuals and agencies such as universities and granting agencies both national and international.  Ensures flow of information with internal and external stakeholders regarding grant related matters and makes arrangements for visiting speakers and guests.
  • Human resources responsibilities include recruitment of staff by posting/advertising internally and externally (UBC), coordinating interviews and screening applications for review by hiring supervisors. Manages new hires orientation process in the department and ensures all safety and personnel documentations are in place according to policies, guidelines and legislations.
  • Ensures all hiring, appointment and payroll processes such as new hire letters and timekeeping are complete for employees. Liaises with various PHSA units such as Payroll and Human Resources and in some cases, UBC to ensure a seamless process and minimize errors. Brings issues and recommendations of remedies to department head or designate for approval.
  • Acts as the main contact for ordering supplies for the department and approves lab and office supplies by performing duties such as submitting purchase requisitions and obtaining authorizing signature as necessary. Manages and processes various requisitions such as travel, expense reimbursements, cheque requests, and honorariums for the Department Head and PIs. Acts as liaison with various departments of BCCA/PHSA including purchasing, stores, and finance to obtain information and follow-up on the status of outstanding issues and requests.
  • Coordinates registration and travel arrangements for staff attendance at seminars and meetings. This includes completing registration (on-line or phone), abstract submission, making travel and lodging reservations, culminating expense reimbursements to the attendee and/or cost recovery from the conference organizers as appropriate.
  • Provides work direction to junior and contract administrative staff including orientating new staff and assigning and reviewing work, coordinating work assignments to ensure completion, answering questions and providing support, ensuring policies and procedures are followed and providing input to performance evaluations as required.

Qualifications:

A level of education, training, and experience equivalent to a Diploma in a relevant area such as business administration or finance from a recognized college plus three (3) years’ recent related experience a research environment and in project management.

Strong interpersonal and communication skills and the ability to demonstrate good judgment, tact and discretion. Detail oriented and able to complete accurate work in a timely matter. Demonstrated time management skills and ability to assist others in meeting deadlines.  Knowledge of and experience with grant applications.  Knowledge and experience in budget preparation, tracking expenditures and identifying sources of variance. Proficient in scientific and medical terminology.  Ability to work both independently and as team leader to organize work and manage multiple priorities in a fast paced environment. Demonstrated ability to make sound decisions and resolve administrative issues/problems. Research Assistant/Tech 3 – Animal Research Technician

JOB SUMMARY

Researchers in the Department of Molecular Oncology at the BC Cancer Research Centre use the latest technologies to rapidly identify genes that are involved in the development of cancer. This position will be involved in performing research in drug pharmacology directed at human tumours, with assays in immunodeficient mice (xenotransplants).

ORGANIZATIONAL STATUS

The successful applicant will report to the Principal Investigator or his/her delegate and may assist in overseeing technical work of students and trainees.

WORK PERFORMED

  • Plans and performs experiments utilizing complex procedures and/or techniques.
  • Processes tissue samples and carries out primary cell isolation as instructed.
  • Carries out laboratory techniques following standard operating protocols ages, tables, graphs and charts.
  • Maintains both laboratory and laboratory records of both animal data and experimental data; when require summarize results in research reports and lab presentations.

Job Summary

The Finance Coordinator, Research Funds Services provides research financial reporting and administration on assigned grant funded programs. The Finance Coordinator, Research Funds Services monitors research projects and researches grant budgets, coordinates the development and submission of research financial reports, liaises with PHSA restricted funds finance team to ensure grants financial information is accurately maintained, monitors and tracks receipts and disbursements and assists with the management, allocation and coordination of  research funds among Partners and Stakeholders.                                 

Duties/Accountablilties

  • Monitors research expenditures and reviews and analyzes research financial information of assigned grant funded programs for the Administrator,  Research Business Operations, and Research Project Managers to assist with planning budgets. This includes pulling appropriate research general ledger accounting information, performing review of research accounts and classifying financial information for reporting, invoicing and budgeting purposes. Ensures research budgets remain within allowable spending limits by tracking and monitoring receipts, disbursements and expenses of general accounts. Investigates and identifies errors/discrepancies and creates journal entries to correct accounting records and maintain research financial information integrity.
  • Prepares and reviews research purchase orders and expense claims to ensure applicability and correct expense coding. Verifies appropriate back-up provided and ensures compliance with PHSA policy as well as external funding agency policies. Identifies/determines if expense claim is allowable and makes suggestions on alternative options, if necessary. Follows up with vendors on outstanding credits or erroneous billing as well as cheque payment requests and facilitates payment options by ensuring that required information is obtained (cheque payment, wire transfer, credit card, etc.)
  • Performs periodic reconciliation of the research general ledger, research corporate card purchases, research capital expenditures, research payroll reports and receivables to ensure accuracy and timely follow-up.
  • Prepares research billing invoices based on the general ledger on a weekly, quarterly and ad-hoc basis to ensure timely collection of revenue from external funding agencies. Ensures research payments are received in full and follows-up on outstanding bad debt accounts.
  • Communicates internally with Accounts Payable, Accounts Receivable and PHSA Finance and provides direction on account coding to accurately reflect nature of research financial transaction. Monitors and reconciles research shadow accounts held at UBC and SFU by pulling the general ledger held at these institutions to ensure accurate and complete yearly reporting of funding received. Communicates with the universities regarding accounting discrepancies and generates journal entries and/or invoices to reflect accurate research financial information.
  • Monitors research reporting/invoicing due dates and coordinates timelines to ensure that deadlines are met. Compiles and prepares research financial reports/invoices as needed (quarterly, yearly, etc.) and ensures that expenditures reported are in compliance with spending guidelines and GAAP (generally accepted accounting principles). Identifies under/over-expenditures and recommends options to ensure that the research project stays within budget.
  • Provides support during annual and interim audits by compiling research general ledger information and ensuring proper documentation is kept on file. Provides analysis to identify/explain journal entries as required by the auditor. Coordinates periodic research financial and annual reports as required by granting agencies, PHSA , partner universities and stakeholders to ensure information is summarized according to guidelines.

                                                               

Qualifications

A level of education, training and experience equivalent to a Diploma in Accounting/Financial Management or pursuing a professional designation program and preferably three (3) years of recent related experience in a multi government institutional setting, including experience working with national and international granting and funding bodies.

Knowledge and experience in working with General Accepted Accounting Principles (GAAP) in a university/life science environment. Knowledge of grant management and familiarity with granting agencies and their guidelines and policies. Working knowledge of the university/health care funding process and procurement practices is an asset. Demonstrated ability to conduct oneself in a professional and confidential manner.  Demonstrated administrative and organizational skills.  Demonstrated ability to productively use word processing, excel spreadsheets, financial reporting and project/budget management applications.  Demonstrated ability to communicate effectively both verbally and in writing.  Ability to work independently with minimal direction. The postdoctoral fellow will conduct research in the design and synthesis of radioligands targeting biomarkers overexpressed in cancers. Research activities will involve the production and isolation of radioisotopes, peptide and multi-step organic synthesis, and radiolabeling small molecules, peptides and antibodies with various imaging and radiotherapeutic isotopes (F-18, Ga-68, Zr-89, Tc-99m, I-123, In-111, Lu-177, Ac-225 …).

Qualified candidates should have a PhD degree in organic or medicinal chemistry with experience in peptide or multi-step organic synthesis. Experience with HPLC, micro-scale reactions, and radiochemistry is strongly desirable but not required. Research Engineer, Microscopy

JOB SUMMARY

A position is open immediately for a research engineer specializing in microscopy hardware to work with our interdisciplinary team of researchers and software developers at the British Columbia Cancer Agency (BCCA). We are seeking a passionate individual to join a team of biologists, engineers and data scientists currently developing state of the art methods for spatial imaging of RNA species in human cancers at single cell resolution. Studying tumours at the single cell level can reveal biological differences that may not be resolved when studying the tumour as a whole. The imaging methods being developed include the use of molecularly encoded super-resolution microscopy to detect single molecules of RNA in tissue specimens. The successful candidate will develop and support integrating super-resolution microscopy, fluidics and camera functions to facilitate sequential imaging of human cancers. The candidate will also work with biologists and data scientists to analyze images and identify RNA species.

ORGANIZATIONAL STATUS

We are a small team of software developers and engineers  embedded within a larger cancer research lab.  You will be working closely with the researchers on multiple projects involving microscopy hardware and data generation, reporting to the project lead or designate.  You will also be involved in collaborations within BC Cancer, UBC, SFU and internationally.

WORK PERFORMED

  • Development and maintenance of microscopy, fluidics and robotics hardware systems through quantitative feedback and functional requirements definition
  • Development and maintenance of hardware instrumentation control software in Python, MATLAB, and C (Arduino)
  • Further improvement of the existing experiment protocol and the associated instrumentation
  • Assisting in generation and presentation of research results from microscopy system, such as the preparation and running of the instrumentation
  • Communication with external vendors regarding the microscope and associated devices
  • Participation in meetings with the larger research group

A UBC AAPS position is open immediately for a biostatistician to join the Aparicio Lab at BC Cancer. We are seeking a creative, experienced, and dedicated individual to play a key role in developing and maintaining our cancer genomics bioinformatics workflows, housed both on-premise and in cloud infrastructure. The successful candidate will join Dr. Aparicio’s breast cancer Molecular Oncology group, and work as part of the lab’s analysis team alongside other software developers, medical researchers and bioinformaticians.  As part of the team, you will help find and develop computational solutions for problems faced by medical researchers and students in the lab, assisting them in pushing the scientific edge of cancer genomics research. Experience with survival analysis and clinical studies statistical analysis will be an advantage.

The efforts of the research group have yielded important and insightful advances in understanding of tumour evolution, specifically how cancers initiate, develop and acquire resistance to treatment. Duties and Responsibilities

  • Provide key contributions to the development of solutions to ensure that business processes and/or project deliverables are consistent, accurate and timely.

Programmer, Image Processing, Microscopy - UBC Vancouver Research Lab

JOB SUMMARY

A position is open immediately for a programmer to work with our interdisciplinary team of researchers and software developers at the British Columbia Cancer Agency (BCCA). We are seeking a passionate individual to join a team of biologists, engineers and data scientists currently developing state of the art methods for spatial imaging of RNA species in human cancers at single cell resolution. Studying tumours at the single cell level can reveal biological differences that may not be resolved when studying the tumour as a whole. The imaging methods being developed include the use of molecularly encoded super-resolution microscopy to detect single molecules of RNA in tissue specimens. The successful candidate will develop and support microscopy imaging pipelines and tools integrating super-resolution microscopy, fluidics and camera functions to facilitate sequential imaging of human cancers. The candidate will also work with biologists and data scientists to analyze images and identify RNA species.

ORGANIZATIONAL STATUS

Working in a research project, both independently and reporting to the project lead in Molecular Oncology or designate, and in conjunction with investigators within the BCCA, UBC and internationally.

The post holder will support and work closely with Dr. Samuel Aparicio, leader of Molecular Oncology, UBC Nan and Lorraine Robertson Chair of Breast Cancer, in developing scientific proposals, assisting in manuscript development and review, coordinating international multi-PI research studies and interacting with funders and advocates in reporting the activities of the single cell biology and drug development program. Demonstrated experience in authoring manuscripts and preparing funding applications and reports, is a requirement for the role. Preference will be given to candidates with experience in biosciences and cancer research. Ability to articulate science clearly in a written form and a high degree of independence and self organization are core skills for this post.

The Research Grants Facilitator and Writer will provide strategic planning and support for the program in single cell biology and drug development led by Dr. Samuel Aparicio. The incumbent will identify and communicate research award and funding opportunities from Canadian and international government funding agencies, private foundations and industry, as well as provide proposal development support for the Aparicio program’s research grant applications and award nominations, including writing significant portions of research proposals and grant applications. The incumbent will establish and maintain relationships with key points of contact with internal and external research and award sponsors. The incumbent will develop strategic research support plans for the single cell biology program. The incumbent will also provide authoritative advice and understanding of the mandates, priorities, processes and policies of internal UBC and major Canadian and international government and private research funding sponsors.

  • Monitor the research grant writing and research infrastructure support needs of the research program and, based on these needs, provide recommendation to Dr. Aparicio, on the ongoing requirements and possible avenues of research support.
  • In collaboration with Dr. Aparicio, plays a leadership role in identifying, developing, and applying for large and complex research grant funding from various funding agencies including provincial, federal and international programs.

Consequence of Error/Judgement

The work of the incumbent is vital to the success of the development and acquisition of research grants and awards in the single cell biology research program. The position has significant influence on the quality and effectiveness of research support services within the research program. Failure to accurately adhere to external granting agency and University research policies and procedures can result in the subsequent rejection of grant applications, the return of awarded funds, the loss of future funds and/or the inability to collect funds owed to the University, and researchers. The loss of future opportunities and funds would call into question the perceived level of research competence of the research program and investigators.

Minimum Qualifications

A post-graduate degree or equivalent professional designation with a minimum of four years of related experience, or an equivalent combination of education and experience. Otherwise, an undergraduate degree in a relevant discipline is required with a minimum of six years of related experience, or an equivalent combination of education and experience.

The Aparicio lab uses the latest technologies to rapidly identify genes that are involved in the development of breast cancer. Through the use of high-throughput screening methods, we will be screening cancers of diverse genotypes for sensitivity and mechanism of response to G-Quadruplex stabilizers CX5461, Pyridostatin and other related compounds. 

We are seeking a highly-motivated and highly skilled individual with expertise or experience in tissue culture, handling and working with hazardous drugs/compounds, and functional assay development/drug screening. The successful applicant will work full-time under the direction and supervision of both Dr. Samuel Aparicio, Principal Investigator, and the Laboratory Research and Operations manager. JOB SUMMARY

This position involves with providing technical support in the areas of molecular biology, biochemistry and cell biology for researchers on current on-going research projects. Individual should possess a strong molecular biology and cell biology background, with experience in tissue culture, microscopy, use of confocal and fluorescence microscopes. Recent hands-on experience with antibody labeling and immunohistochemistry will be considered an asset.

The candidate will get exposure to breast and childhood cancers through working directly with two (Dr. Aparicio/Dr. Sorensen) different labs within the department. The Aparicio lab uses the latest technologies to rapidly identify genes that are involved in the development of breast cancer. Through the use of single cell genome and transcriptome methods for tracking clonal trajectories at single cell level in patient tissues, we hope to gain a better understanding of tumor microenvironment.

The Sorensen lab uses a combination of genetic and biochemical approaches to identify proteins that are specifically altered in human tumors. This led to the discovery of many novel genetic alterations in childhood cancer and breast tumors. These discoveries have been translated into new diagnostic tests for specific tumors, and have advanced our understanding of how the involved proteins transmit signals that cause cells to become cancerous.  Dr Sorensen is part of two international teams, known as the Pediatric Immunotherapy Discovery and Development Network and the St. Baldrick’s Foundation-SU2C Pediatric Cancer Dream Team, focused on identifying and developing new immunotherapies for high-risk childhood cancers.

The successful applicant will work full-time under the direction, guidance and supervision of both Dr. Samuel Aparicio and Dr. Poul Sorensen, Principal Investigators. Reporting to the Clinical and Research Directors of the Centre for Lymphoid Cancer, BC Cancer Agency, the Biostatistician provides support in the areas of study design, analysis, and consulting for biological and clinical cancer research. This role oversees survival analysis and statistical modeling of clinico-biologic factors associated with patient outcomes and maintains information collected in the provincial clinical lymphoma database. The Biostatistician also provides the monitoring of lymphoid cancer interventions and lymphoid cancer health service performance indicators for use in the planning, implementation and evaluation of lymphoid cancer care in the province. The Biostatistician is responsible for tracking trends and detecting emerging issues and associations between a wide range of lymphoid cancer risk factors, health determinants, and health outcomes. The Biostatistician manages the preparation of annual, quarterly, period, and ad hoc reports and is responsible for ensuring high quality and accuracy of these reports. The Biostatistician is responsible for providing statistical support and maintains the integrity of the data to a renowned lymphoma cancer research group which consists of Clinicians, Researchers, Biologists, and Bioinformaticians on lymphoma cancer research and related projects.

Key Accountabilities

  • Develops novel statistical models to discover untapped potential in  clinical data, biological phenomena, and novel associations of clinic-biologic factors with patient outcomes.
  • Monitors and assesses existing provincial clinical database of lymphoma patients to provide accurate and timely information. Provides regular reports and presentation of statistical analyses and results to the group
  • Provides support for the development and collaboration of experimental design of research projects to ensure statistical rigor. Evaluates existing and emerging data analysis tools, provides recommendations regarding new tool adoption and performs risk/impact analyses in support of the planning of system development, enhancement and maintenance.
  • Performs quantitative data analyses using advanced statistical methodologies and statistical software.
  • Identifies and provides advice about data limitations and ensures adequate data quality for analytic purposes.
  • Links data sources from the provincial clinical lymphoma database with other major health information systems such as the Ministry of Health (Vital Statistics, hospital discharge database, Pharmanet, Medical Services Plan). Maintains relationships with senior managers in these organizations; takes measures to protect all data and information being used to comply with protection of confidentiality and privacy policies.
  • Develops and produces analytical outputs (e.g. reports, presentations, posters) that support the Centre for Lymphoid Cancer Agency and BCCRC Committees in the monitoring, planning and evaluation of population trends, health services utilization, and health outcomes for lymphoid cancer interventions, including health care system quality trends and variations.
  • Develops and produces reports that monitor and benchmark cost, utilization, quality and other performance indicators and communicates findings to the BCCRC and PHSA Executives, PHSA Board, Ministry of Health and external stakeholders at the local, regional, provincial and national levels. Formulates recommendations based on findings, including strategic interventions, program and costing recommendations. Represents the Centre for Lymphoid Cancer in various meetings as a speaker or contributor.
  • Plans, develops and delivers training programs, initiatives and materials related to lymphoid cancer research and data analyses in collaboration with BCCRC staff and other organizations throughout the province.
  • Identifies learning needs that contribute to skill enhancement and career progression for self and fosters a working environment that stimulates learning and inquiry for self and others. Qualifications

A level of education, training, and experience equivalent to a Master’s Degree in Biostatistics, Statistics, Epidemiology, Health Information Science, or Computer Science and five (5) years of experience in a health analytics, health research or health information field. Understanding of molecular biology and cancer genomics is an asset.

Advanced knowledge of frequentist statistics, probability distributions, statistical inference and modeling, particularly Bayesian statistics and machine learning. Knowledge of database management principles. Exceptional knowledge of survival analysis, including cox regression, Kaplan-Meier estimation, statistical language R and experience using ‘Rmarkdown’ or an alternative statistical language. PDF (Molecular Biology), Single Cell Genomics, Aparicio lab

We are seeking a highly-motivated post-doctoral fellow (PDF) with strong leadership ability and expertise in single cell genomics and transcriptomics, and a strong background in molecular biology. The successful applicant will work full-time under the supervision of Dr. Samuel Aparicio. The position start date is flexible.

JOB SUMMARY

The Aparicio lab is developing new single cell genome and transcriptome methods for tracking clonal trajectories at single cell level in patient tissues and patient-derived xenografts (PDX). A PDF position is available in the Aparicio lab based at the BC Cancer Research Center in Vancouver, Canada, collaborating on an exciting project mapping clonal dynamics in human cancers with new single cell methods. The post holder will have the opportunity to interact as part of the international CRUK Grand Challenge IMAXT project, bringing new measurement methods and computational techniques to the 3D reconstruction of tumours, and mapping drug sensitivity and drug combinations using sgRNA/CRISPR methods in vivo. The program works closely with the Shah computational biology program, based at Memorial Sloan Kettering Cancer Centre, on the development of new models for single cell data and cancer evolution. Some experience with bioinformatics approaches to biological data and familiarity with handling of genomics data will be an advantage.
